Position Overview:

The Senior Event Coordinator will take on advanced responsibilities in coordinating and overseeing all operational aspects of Fashion Thrift Society events. This role requires travel on weekends (Saturday and Sunday) to various event locations, with event setup the day before and coordination on the day of the event.

Key Responsibilities:

  • Event Planning and Execution:
  • Plan and execute complex events, including large-scale fashion markets and exhibitions.
  • Develop, monitor, and manage event budgets, ensuring cost-effectiveness without compromising on quality.
  • Create detailed timelines for event execution and ensure all milestones are met.
  • Manage relationships with vendors, including negotiating contracts and maintaining quality control.
  • Leadership and Supervision:
  • Lead and mentor junior event coordinators or assistants, providing guidance and support in their tasks.
  • Work closely with other departments like marketing, sales, and logistics to ensure all aspects of the event are aligned.
  • Manage on-site teams, including staff and volunteers, ensuring they understand their roles and responsibilities.
  • Client and Stakeholder Relations:
  • Act as the primary point of contact for clients, ensuring their needs are met and expectations exceeded.
  • Engage with key stakeholders to align event goals with organizational objectives and secure necessary approvals.
  • Problem Solving and Decision Making:
  • Anticipate potential issues and develop contingency plans to mitigate risks.
  • Quickly resolve any problems that arise during the planning or execution of events.
  • Make high-stakes decisions regarding event logistics, budget allocations, and resource management.
  • Innovation and Strategy:
  • Innovate and introduce creative concepts to make events unique and memorable.
  • Stay updated on industry trends, competitor activities, and new technologies that can enhance event experiences.
  • Gather post-event feedback, analyze performance metrics, and implement improvements for future events.
  • Compliance and Risk Management:
  • Ensure all events comply with Australian laws and regulations, including health and safety standards.
  • Conduct thorough risk assessments for events, particularly concerning safety, legal liabilities, and financial risks.
  • Reporting and Documentation:
  • Prepare comprehensive reports on event outcomes, including financial performance, attendance, and client feedback.
  • Maintain detailed records of all aspects of event planning and execution for future reference and accountability.

Requirements:

  • MUST HAVE EXPERIENCE IN MARKETING.
  • MUST HAVE EXPERIENCE IN EVENT COORDINATION.
  • Melbourne-based with the ability to work from the Brunswick office.
  • Strong communication skills, with the ability to engage with loud crowds and enforce direction effectively.
  • Excellent customer service skills, with a proactive approach to addressing attendee needs.
  • Previous experience in event coordination, preferably with large-scale events.
  • Ability to work autonomously and as part of a team in fast-paced environments.
  • Outgoing personality with a confident and authoritative demeanor.
  • Flexibility to work weekends (Saturday and Sunday) and occasional weekdays for pre-event preparations.
  • Willingness to travel to event locations, with all travel expenses covered.
  • Must be available for a 3-month probation period to assess suitability for the role.

  • Roster may vary based on event schedule and market dates.
