Position Overview:

The Assistant Event Coordinator will play a pivotal role in supporting the coordination and execution of Fashion Thrift Society events. This position requires a highly organised individual who demonstrates proactive task initiation, pragmatism and the ability to thrive in a fast-paced environment. The Assistant Event Coordinator will be responsible for various tasks including customer service, managing stall applicants, sourcing and coordinating event contractors and assisting with event planning, including floor plans.

 

Responsibilities:

  • Provide exceptional customer service to event stakeholders, including vendors and attendees.
  • Manage the application process for stallholders, including applicants and coordinating stall set up.
  • Source and manage event contractors, including caterers, security personnel, and equipment suppliers.
  • Assist in event planning activities, including developing floor plans, coordinating logistics, and ensuring all necessary permits and licenses are obtained.
  • Maintain accurate records and documentation related to event coordination activities.
  • Demonstrate high levels of productivity and efficiency while working independently to complete tasks and meet deadlines.

 

Requirements:

  • Melbourne-based with the ability to work from the Footscray office.
  • Highly organised with a demonstrated ability to initiate tasks and follow through to completion.
  • Proven ability to work independently and thrive in a fast-paced environment.
  • Strong communication and interpersonal skills, with a customer-focused approach.
  • Previous experience in event coordination or a related field is preferred but not required.
  • Detail-oriented with excellent problem-solving abilities.
  • Flexible and adaptable with the ability to handle multiple priorities simultaneously.

 

Work Schedule:

  • Part-time position (4 days per week)
  • Potential for full-time employment after successful completion of a 3-month probation period.
